Where we source information from third parties: Beyond what you provide directly, we may collect information relevant to your application or placement from sources such as AHPRA, referees you’ve nominated, previous employers, National Police Checking Services, professional indemnity insurers, and relevant government agencies (such as the Australian Taxation Office or Services Australia) where necessary to verify eligibility or process a placement.
You can always decline to provide any personal information we request. In some cases, this may mean we’re unable to progress your application or provide a particular service — if you have concerns about something we’ve asked for, please get in touch and we’re happy to talk it through.
We only collect health or sensitive information (such as immunisation status, police check results, or registration details) where it’s genuinely necessary for recruitment and compliance purposes, and we obtain your written or digital consent before collecting it.
2. How We Collect Personal Information
We collect personal information directly from you when you submit an application, staffing request, or contact form on our website, subscribe to our newsletter, communicate with us by phone, email, or in person, or apply for a role or engage our recruitment services.
We may also collect information from third parties, such as AHPRA (to verify registration status), referees you nominate, or previous employers, but only with your knowledge and, where required, your consent.
3. Why We Collect, Hold, and Use Your Information
We use personal information to match candidates with suitable midwifery roles and employers, verify qualifications, registration, and compliance requirements, communicate with you about roles, applications, and our services, conduct reference and background checks (with your consent), manage our ongoing relationship with candidates and clients, send job alerts and clinical resources (if you’ve subscribed), handle billing and administrative matters related to a placement, manage our own staff and workforce obligations, improve our website and the quality of our services (including training our staff), and comply with legal and regulatory obligations.
We only collect the information necessary for these purposes and do not use it for anything beyond their intended scope without your consent or a legal basis to do so.
In most cases, we’re not able to provide our recruitment services if you choose to remain anonymous or use a pseudonym, since placing you in a role requires us to confirm your identity, registration, and credentials.
4. Disclosure of Personal Information
We may disclose your personal information to prospective employers/clients (where you are a candidate being considered for a role), AHPRA (for registration verification), referees (to conduct reference checks, with your consent), service providers who assist us in operating our website and business, and regulatory or government bodies where required by law.
We only share information with approved clients, regulatory bodies, or legal authorities, and only where there is consent or a legal obligation to do so. We do not sell your personal information to third parties.
Overseas disclosure: Our website hosting or software service providers may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure those providers handle your information in a manner consistent with the Australian Privacy Principles.
5. Data Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes secure, encrypted, password-protected storage systems and restricting access to personal information to staff who need it to perform their role.
We retain personal information only for as long as it’s needed for the purpose it was collected, or as required by law, and take reasonable steps to securely destroy or de-identify it once it’s no longer needed. If you haven’t engaged with us for an extended period, we may ask you to reconfirm or update your details before we reactivate your profile for new opportunities.
However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
Data breaches: If we become aware of a data breach that is likely to result in serious harm, we will investigate and respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act, including notifying affected individuals and the OAIC where required.

You have the right to request access to the personal information we hold about you, and to request correction if it is inaccurate, out of date, or incomplete. To make a request, contact us using the details below. We will generally respond within 30 days and may require proof of identity before releasing information.
In some circumstances permitted by law, we may need to decline an access request — for example, if it would unreasonably impact another person’s privacy, relates to a commercially sensitive process, or access would otherwise be unlawful. Where we can’t grant a request, we’ll explain why.
